AAF – Greater Evansville is currently seeking an Executive Director!

Director Responsibilities:

Keep communication open between Committees and Club Members. Serve as an ex-officio member of all Committees and help facilitate Committee Meetings when necessary. Help Committees “stay on track” and function in an efficient manner. Keep club financial records updated. Perform office duties including telephone and e-mail communications, maintain incoming and outgoing correspondence through the USPS, monitor our P.O. Box, and purchase office supplies.

Monthly Board Meetings

  • Send e-mail notification/reminder to the Board members
  • Prepare agenda
  • Prepare financials/track membership dues
  • Prepare Executive Director’s report
  • Track board member participation (attendance to meetings and involvement)
  • Secure location for monthly board meetings

Monthly Luncheon Meetings

  • Send e-mail notification and meeting reminders
  • Take reservations via e-mail and phone
  • Take Payments
  • Coordinate volunteers (check-in, membership welcome, raffle sales, etc.)
  • Coordinate/Reserve meeting rooms, menus and necessary equipment (A/V, displays) with Programs chair for each monthly event
  • Arrange accommodations and transportation and gift for the speaker
  • Conduct and monitor the flow of each monthly luncheon (start/finish program on time, ensuring lunch line is initiated well before the speaker begins)

Bookkeeping/QuickBooks

  • Invoice for all meetings, ADDYS and Annual Auction
  • Write checks, pay all bills and reconcile bank statements
  • Receive and post payments
  • Make bank deposits
  • Process credit card payments
  • Provide financial reports for Treasurer and Board
  • Provide “year end” information to Accounting Firm for Federal/State Tax Preparation
  • Provide information to Accounting Firm for Personal Property Tax Filing
  • Consult on preparing annual budget

General Director Duties

  • Act as a community outreach and public relations role for the AAF-GE by attending networking events, interacting with potential new members and sponsors/donors (both prospect and existing) and fostering new relationships with the Greater Evansville community to further the organizations goals and initiatives.
  • Gather/provide any needed organization information so board members can set goals for the organization & respective committees, providing year-end summaries and good record keeping and become an advisory support for core club initiatives in respect to Club Achievement Awards.
  • Any additional duties as assigned.

Committee Work

  • Advise and attend all committee meetings when necessary
  • Assist with notification and coordination of the meetings, as necessary
Annual Auction
    • Assist committee with planning event
    • Assist with solicitation of auction items
    • Send solicitation letters upon request
ADDYS
    • Mail ADDY Awards Call for Entries
    • Arrange for venue and food for day of judging
    • Mail ADDY Awards Ceremony Invitations
    • Order acrylic awards and certificate awards
    • Coordinate reorders for duplicate awards and deliver when received
      • Silver Medal
        • Prepare and mail nomination forms to members
        • Order award from AAF
        • Coordinate selection committee meeting
        • Have award engraved after recipient selected
        • Mail invitations to past recipients
Scholarships
    • Order & pick up presentation check
    • Make payments to universities in August
Membership
    • Keep updated information and maintain membership roster
    • Report to AAF & Pay dues to District & National AAF
    • Prepare membership renewal invoices and membership forms
    • Coordinate nomination committee and election process
    • Prepare ballots for election of officers and mail

AAF-Greater Evansville reserves the right to modify or update this list of responsibilities at any time based on organization goals and growth. A revaluation of duties will be conducted by the current executive committee every 2 years prior to the start of the upcoming club’s fiscal year.
